2-1-23 Meeting Notes

February 1, 2023

HSA Meeting

7pm over Zoom


Present: Mr. G, Megan L, Ms. C, Adam W., Mr. B


School updates

  1. Introducing Ms. Saida, interim community partnerships coordinator

  2. School planning will begin in mid-Feb. Will be sending out invitations to people to participate in the team, including to SAC and HSA. Will do it similarly to last year with a large team with subgroups but earlier so that there are more meetings before the budgets are due

  3. Exhibition Day will be Feb. 17 during the afternoon

  4. In 3rd quarter, PSSAs will take place. Teacher will be looking at questioning/student voice in the classroom.

  5. Black History Month - will have some assemblies, morning announcements highlighting Black artists

  6. Basketball teams have had a few games


HSA financial updates

  1. After the $1378 spent on recess supplies, we have:

    1. $2966 (roughly $300 of which is cash).

    2. Megan will follow up with Rachael about the Penn money and what we owe Scholastic


Upcoming projects

  1. Refreshments for Student Exhibition Day - estimate 200 attendees; drinks + snacks

    1. Source donations of food and drink? $500? Mr. Gerwer and Saida will talk about what they’d like us to buy.

    2. Maybe sell swag?

  2. Temporary seating update

    1. Haven’t heard from the UCD person recently

    2. Looking into cheap patio chairs and also resold park benches (under $300 each) – $750 all in possibly. Adam will move this forward.

    3. Connect with Ms. Cesarini about possibility of free chairs

  3. Kindergarten open house on March 7?

    1. Family Engagement Committee can discuss - will likely talk about this after the exhibition – should probably send out flyers by 2 weeks ahead at minimum

    2. HSA can help with promoting in neighborhood groups

    3. Maybe this year, have a shorter presentation and do more community/relationship building

    4. It was helpful to families to have some seasoned parents there to help with tours

  4. Staff culture calendar - maybe supporting events?


2023 Elections

  1. Open positions for 23-24 and 24-25 school years: president, treasurer, secretary

    1. Megan is willing to do bookkeeping but unable to participate fully as an officer

    2. Steph could probably run for secretary if needed

  2. Election committee needed - Adam can be on the committee

  3. Send an email to the Google group with specific asks – one additional election committee member and candidates for officer positions; can we be up front about HSA potentially downsizing significantly if we don’t find people? Steph will send this email. We’ll list the tasks that fall under each role

  4. Bylaw updates and 501c3 update – Megan will ask Thomas what would happen if we moved this forward and then didn’t have an active officer team next year. If there are minimal consequences, we’ll just move forward with finishing out the process.
